Monthly equipment grants

This grant will be closed for applications during the elections period. It will reopen again on 1 November 2024.

This grant supports community groups to purchase the minor equipment they need to:

  • deliver services
  • improve health and safety for staff/volunteers/participants/group members.

Grants are available until allocations have been exhausted from our total pool of $50,000.

Grant applications of up to $2,000 will be considered.

Key dates

  • Grant applications open on 2 July 2024. Further rounds open on the 1st day of each month until May 2025.
    (You must begin and submit your application within a given month, they cannot be carried over)
  • Grant applications close, midnight on the last day of each month except for the May/June round which closes midnight on Sunday 8 June 2025.
  • Assessments and decisions are made within 6 weeks of application.
  • Acquittal is due 3 months after receiving grant.

Eligibility

Equipment can be free standing or installed, such as air conditioning or an oven, although installation or assembly costs will not be funded.

Criteria

Applicants must:

  • be an incorporated association, an auspiced not for profit community group, a public company limited by guarantee or a charity or benevolent trust
  • provide support, programs or services to people living in Banyule
  • have an ABN, or be willing to complete a statement by supplier
  • hold $20 million public liability insurance
  • have been established for a minimum of 12 months
  • provide a current detailed profit and loss statement (preferred) or a detailed, current financial statement. Bank statements are not appropriate and should not be submitted
  • submit at least 1 quote.

What we will fund

  • Equipment that is portable or free standing
  • Equipment that is plumbed, wired or fixed in some way

What we will not fund

  • Installation, assembly or delivery costs
  • Equipment that is the responsibility of another funding body or level of government
  • Uniforms, prizes, trophies, scholarships, donations, fundraising, sponsorship or gifts
  • Applications seeking retrospective funding
  • Equipment that does not remain the property of the community group or club
  • Projects where the group/organisation has received full funding for the same project from another source
  • Projects run solely for private or commercial purposes
  • Payments to professional grant writers


Who cannot apply

Individuals cannot apply.

Schools and churches are ineligible, unless the project responds to an identified community need and provides wider community benefit.

Groups who have already received $2,000 in monthly equipment grants in the current financial year cannot apply.

Groups with outstanding grant acquittals or debts to Council. All previous Council grants, where the acquittal is due prior to the closing of the current funding round, must be acquitted to a satisfactory standard. Un-acquitted or unsatisfactorily acquitted grants will deem an application ineligible.

Application

To apply:

  • read the guidelines and apply only if eligible
  • complete an application form online and provide all supporting documentation.

Supporting documentation

All applications are required to supply at least 1 quote.

  • they can be written, scanned images from catalogues or online stores, or a screenshot from a website
  • they should be itemised and clearly show detail and cost of each item
  • they should be current (not more than 6 months old)
  • they should be consistent with the requested amount in your budget.

We recommend that any equipment purchased with grant funds should meet Australian standards.

Auspicing

Non-incorporated groups will require the support of an incorporated association to auspice their grant. If your application is going to be auspiced by another organisation, you must provide all insurance, incorporation and ABN information of the auspicing group as well as a letter from the auspice organisation on letterhead stating their support.

Assessment

Our grants have a conflict of interest declaration that all parties involved in the assessment process must complete. This ensures that any interests are declared prior to assessment.

Outcome notification is made within 6 weeks of the grant round closing, unless otherwise notified.

Grant agreement

Successful grant applicants will be required to sign a grant agreement that sets out conditions of the grant.

Acquittal

You will be required to submit expense receipts to acquit your grant. Receipts must list items purchased, detailing cost per item, and total cost. All receipts should reflect the expenses approved in our letter of offer.

Failure to acquit the grant satisfactorily may result in requests for grant money to be returned to us, and exclude the group from future grant rounds.
